Clients

Clients is your portfolio of live work and its health. Each client has one or more engagements(files), and the workspace surfaces what's exposed — no next action, recovery slipping, WIP to bill, client input overdue — so nothing drifts.

Engagements

An engagement is a unit of client work. It belongs to one client, and carries an Engagement Partner (owner), an optional manager, a service line, status, and dates. Open one to see its snapshot; use + New engagement to add one, or convert a won pursuit into an engagement from Pursuits.

Kind sets how the engagement behaves: Project (scoped / fixed-fee), Retainer (ongoing, with a monthly hours allotment), or Internal (non-billable internal work — Admin, Internal Meetings, OOO, etc., which stays out of profitability).

File health

Every engagement gets a health pill — Healthy, Watch, At risk, Setup needed, or Paused— computed from flags like: no next action set, no owner, no service line, recovery below target, WIP needs a billing review, hours used over budget, or client input overdue. Open the engagement to see exactly why it's exposed.

Economics

Budget, billed-to-date, unbilled WIP, A/R, recovery target, and hourly rate live on each engagement. These are finance-protected: they are stored separately and only partners and finance admins can read or edit them. Managers and staff see the engagement and its hours, but not the dollar figures.

Recovery = how much you've realized vs the standard value of the work. Set the firm's target and breakeven rates in Settings → Firm settings; the Clients snapshot and Labour analysis flag files that fall below them.

Time & profitability

Once your team logs time (see Time tracking), each engagement's snapshot shows logged hours and — for partners/finance — time value, cost, and margin, from logged hours × each person's snapshotted rate. Retainer engagements also show retainer burn: this month's hours vs the monthly allotment. Internal engagements show "excluded from recovery" instead of dollars.

Deliverables & client requests

  • Deliverables — what you owe the client on a file (reports, models, campaigns), with status and due dates.
  • Client requests — what you're waiting on from the client; long-open or blocking requests drive the "client input overdue" health flag.

Reviewing & billing

Start weekly reviewwalks the exposed files in order. Bulk actions let you set owner / service line / recovery target or mark files reviewed across a selection. For firms connected to Xero, you can push a fixed-fee invoice or T&M / installment invoices straight from an engagement.

Who sees what

Partners and senior managers see all clients and engagements firm-wide. Managers, staff, and contractors see only the engagements they're assigned to (as owner, manager, or a team member). The dollar economics are always partner/finance-only, on top of that.
